Why a general chatbot is worse than no chatbot

A generic assistant bolted onto a business site will confidently tell a customer their problem is probably nothing, quote a price you have never charged, or promise a service you do not offer. One bad answer costs more trust than a hundred good ones earn.

So the assistant we build does not know anything except your business. Its entire world is a knowledge base we write with you: your prices, your team, your hours, your policies, your prices where you choose to publish them. Asked something outside that, it says so and offers a human.

That is a narrower product than the demo you have probably been shown by someone else. It is also the only version we would put in front of a customer.

How we keep it from making things up

These are engineering decisions, not marketing language. Each one costs the assistant some fluency and buys back reliability, which is the right trade for a healthcare setting.

It can only answer from your knowledge base
The assistant is given your business's information and instructed to answer from it alone. There is no general-knowledge fallback, because a general-knowledge fallback is exactly where invented answers come from.
Not knowing is a valid answer
When the information is not there, it says so in a fixed sentence you approve and offers to pass the question to your team. It is never rewarded for producing an answer.
Clinical topics trigger a handoff, not an answer
Symptoms, pain, medication, post-operative questions and anything phrased as an emergency route to a human on your escalation rule. The assistant is not permitted to reassure, triage or advise.
It never invents a price or a plan
It quotes only figures you have explicitly published to it. Everything else becomes "I will have the office confirm that for you".
Every conversation is readable
Your team can see any thread in full, including what the assistant said and why it escalated. Nothing happens in a black box you cannot audit after the fact.
You can turn it off
A single control pauses automated replies on any channel and routes everything to your team. Useful during a system outage, a staffing change, or any week you would rather do it yourselves.

Privacy, HIPAA and messaging rules

Automated customer messaging in the US sits inside real regulation. We are not your attorneys and this is not legal advice — what follows is how we build, and we expect you to run it past your own counsel or compliance advisor before launch.

  • We design so the assistant collects the minimum needed to book: name, contact details and what the appointment is for. Not sensitive detail in free text.
  • Where a channel or vendor requires a Business Associate Agreement to carry protected health information, we use vendors that will sign one and we help you get it in place.
  • Consent to be contacted is captured explicitly at the point a customer gives you their number, recorded with a timestamp, and stopping is honoured immediately on every channel.
  • Outbound messaging is built around express consent and quiet-hours rules. We do not send marketing to numbers that did not opt in, and we will not build a system that does.
  • Customer data lives in accounts your business owns. Nightbell holds access, not custody, and access is removable on request without breaking anything.
  • Conversations are retained on a schedule you choose. If you want a shorter window than the default, we set that before launch rather than after.

Asked before signing

The assistant is model-agnostic by design and we choose based on cost, latency and how reliably it stays inside a knowledge base. The important part is not the model, it is the fencing around it: the assistant only ever sees your business's information and is instructed to refuse rather than guess. We will tell you exactly what is running before launch and if it changes.

Yes, and it says so. The assistant introduces itself as your business's automated assistant and offers a human at any point. Pretending to be staff is both a bad idea and, on some channels, against the platform's own rules.

You see the thread, we see the thread, and the knowledge base gets corrected the same week. Because the assistant can only answer from that knowledge base, a wrong answer is almost always a wrong or missing entry rather than a mystery — which means it is fixable and stays fixed.

Yes, as an add-on, with the knowledge base written in Spanish rather than machine-translated at the moment of reply. Half-translated healthcare information is worse than none.

They find slow answers annoying. What causes complaints is volume and irrelevance — batch marketing to people who did not ask for it. Everything we build is either a reply to something the customer started, or a reminder about an appointment they booked.
